Meet Tom

Tom runs a small plumbing firm in Leeds and lets out three terraced houses on the side. He self-manages, keeps his paperwork in a couple of folders and a busy inbox, and judges the properties the way most landlords with a day job do: the rent came in, so everything must be fine. He asked for a PROXERA property review mostly to tidy things up in one place.

What the review found

The tenancies were genuinely fine. All three paying on time, no arrears, no drama. The gap was in the admin. The five-year fix on his second property had ended more than a year earlier, and the mortgage had quietly rolled onto the lender’s standard variable rate. No alarm went off, the payment just went up, and because the rent still covered it, it never got questioned. Month after month, the difference between the rate he was paying and the rate he could be paying was leaking out of an otherwise healthy little portfolio.

What he did next

Tom sent the mortgage straight to his broker to reprice, before winter and before the next payment went out. He also let the review pull his renewal dates, certificates and tenancy paperwork into one timeline, so the next rate end, gas safety renewal or tenancy anniversary flags itself instead of relying on his memory. Which product he moves to is between him and his broker. The point is he now knows there was a decision to make.

What you can take from it

With a handful of properties, problems rarely announce themselves. The rent arriving on time can hide a lapsed rate, a certificate running down or a deposit document buried three email accounts ago. If you own between one and ten properties, the question is not “is the rent coming in?” It is “what would I find if I looked at everything in one place?” It usually takes minutes to find out, and it is usually worth it.

What changes when you can see it all

Tom did not need more properties. He needed to stop running three of them from memory.

  • One view instead of four folders. When everything sits in one place, “how am I actually doing?” takes seconds to answer rather than an evening.
  • Dates that find you. Renewals, rates and certificates surface on their own, so nothing important rests on you happening to remember it.
  • Small wins compound. A better rate here, a rent brought into line there. Across a few properties and a few years, those quietly add up in your favour.
  • More time for the part you enjoy. Very few people got into property because they loved paperwork.

Three properties is a real portfolio. It deserves better than a shoebox and good intentions.
