Property has been one of the last industries to take technology seriously. For years the tools an investor actually used were a spreadsheet, a bank app and a drawer of paperwork, while every other part of their financial life moved online and updated itself. That gap is finally closing, and 2026 is the year it stops being optional. Between Making Tax Digital, tighter compliance and a market that rewards fast, informed decisions, the investor with the right technology now has a real edge over the one still typing figures into cells.

This is not a plea to download ten more apps. It is the opposite. The goal is a small, connected stack that does the heavy lifting for you. Here is what that looks like.

Why the spreadsheet quietly stopped being enough

A spreadsheet is a snapshot of a moment that has already passed. It does not know your latest valuation, it does not chase a certificate that is about to expire, and it will not warn you that a fixed rate ends next month. As a portfolio grows, the cracks widen: figures fall out of date, tabs multiply, and one wrong formula quietly misreads the whole picture. Add Making Tax Digital, which now requires digital records submitted quarterly, and the manual approach moves from inconvenient to genuinely risky. We went deeper on this in property software versus spreadsheets.

The core stack a modern investor needs

Strip away the noise and there are really six things worth having:

  • Live portfolio tracking. Income, expenses, yield, equity and capital growth for every property, updating on their own rather than when you remember to type them in.
  • Compliance and deadline tracking. Gas, EICR, EPC, insurance and mortgage dates surfaced before they fall due, not after.
  • A secure document vault. Tenancy agreements, safety certificates, mortgage papers and title deeds in one encrypted place, not scattered across email and drawers.
  • MTD and tax. Records kept in the right digital form and submitted to HMRC without a scramble every quarter.
  • Intelligent insight. Analysis that actually reads your portfolio and points to what needs attention: an underperforming asset, a refinancing window, a risk hiding in the averages.
  • Open banking. A live connection to the accounts your rent and costs flow through, so the numbers are real rather than remembered. More on that in open banking for landlords.

The mistake almost everyone makes

The instinct is to solve each of those with a separate tool: one app for accounts, another for documents, a spreadsheet for performance, a calendar for deadlines. The result is ten silos that do not talk to each other, and an investor who spends their evenings copying numbers between them. Disconnected tools do not save time, they move the work around. The whole point of technology is to remove the copying, not relocate it.

What good actually looks like

Good is one connected system where the parts feed each other: your bank feed updates your performance, your performance flags an underperforming property, your deadlines chase themselves, and your tax records build quietly in the background. That is the idea behind PROXERA. It connects your portfolio, your finances, your goals and your deadlines, lets proprietary AI analyse the whole picture around the clock to surface what deserves attention, keeps your documents in an encrypted vault, and submits your MTD returns to HMRC when the time comes. One view, doing the work you used to do by hand. You can see how it fits together on the platform page.

How to choose your stack

  • Does it update itself? If you still have to type the numbers in, it is a spreadsheet with a nicer font.
  • Does it warn you before, not after? The value is in catching the expiring certificate or the ending rate in time to act.
  • Was it built for property? A generic finance or CRM tool will always miss the things that matter to a landlord.
  • Does it bring things together, or add another silo? Fewer, connected tools beat many disconnected ones every time.

Technology will not make a bad property good. What it will do is make sure you always know which of your properties is which, what each one really returns, and what needs your attention next. In a market this demanding, that clarity is no longer a luxury. It is the baseline every serious investor should expect.
